JOB SUMMARY

The Medical Legal Administrative Assistant provides comprehensive support to the Practice Operations Manager and Sr. Case Review and Business Development Manager. Key responsibilities include scheduling appointments, managing files, and handling calls and email correspondence. This role also involves reviewing and summarizing medical records, preparing chronologies, assisting with invoicing, and ensuring accurate data entry. Strong organizational and communication skills as well as the ability to work in a team environment are essential for success.

DUTIES AND RESPONSIBILITIES

  • Provide administrative support to the Practice Operations Manager and Sr. Case Review and Business Development Manager.
  • Schedule appointments, manage files, and handle calls and email correspondence.
  • Review medical records, create summaries, and complete chronologies.
  • Organize and maintain medical records efficiently.
  • Assist with invoicing and ensure accuracy in QuickBooks.
  • Accurately enter and manage data in company systems.
  • Follow up on missing medical records and other required documentation.
  • File medical record charts in the office.
  • Document and communicate deadlines clearly with the team.
  • Utilize company systems, including Ascent, spreadsheets, Microsoft Cloud, and the company server.
  • Demonstrate strong communication skills across multiple platforms.
  • Perform other duties as assigned.

EXPERIENCE AND SKILLS REQUIREMENTS

  • College degree or equivalent relevant experience.
  • Medical-legal background preferred.
  • Ability to work independently and in a team environment.
  • Excellent time management skills, i.e., task management, prioritization and consistently meeting deadlines.
  • Clear, concise and articulate verbal and written communication.
  • Must be confident and effective in speaking with attorneys and doctors.
  • Must be able to process a vast array of incoming information and ask appropriate follow-up questions.
  • Must possess strong analytical skills to quickly understand what is needed on a case by case basis.
  • Ability to deliver high-quality service to meet and exceed customer expectations.
  • Proficient in Microsoft Office.

WORK ENVIRONMENT

This position operates in a professional office setting using standard office equipment. The role is primarily sedentary but may require occasional movement throughout the office.

PHYSICAL REQUIREMENTS

  • Ability to remain seated for extended periods
  • Frequent use of a computer and office equipment
  • Ability to read detailed information on a screen
  • Occasional lifting of office materials up to 20 pounds
